Job Title: Secondary Market AdministratorReporting to: Head of Secondary Market OperationsWorking hours: Monday to Friday 10.00am to 6.00pm (additional hours as required)Location: London• A core member of White Cube’s secondary market team, this role coordinates and oversees all secondary market consignments in Europe, the Middle East and Asia – from consigning, to selling to post sale – and provides support, as necessary, to the Americas.

Secondary Market Consignments:• Provide support on consignment pipeline, checking client names against internal sales contacts.• Communicate new White Cube consignments to AL, SL and the Sales Director, as appropriate.• Communicate all new consignments to Research team, Registrars and Technical team, as appropriate.• Liaise with Legal, Finance and Sales teams to gather the information and documentation required to create a contract for each consignment, following approval of commercials and sales strategy.• On occasion, work in conjunction with Head of Secondary Operations / Senior Business Director on selected consignments.• Escalate decisions on risk and commercials, when they fall outside of the pre-defined guidelines.• Coordinate all consignment materials and, on completion of required research and due diligence, work with Head of Secondary Market Operations on release in accordance with sales strategy.• Maintain consignment tracker.• Raise purchase orders and track consignment related costs.• Monitor contract expiry dates, communicating expiring contracts to the sales team as appropriate and regularly reviewing existing inventory in storage.• Ensure systematic filing of signed contracts and consignment related paperwork.• Complete and submit the invoice request form to accounts, ensuring that the inventory system is updated with all supporting documents and that due diligence is complete.• Liaise with accounts to ensure the timely settlement of consignor invoices.• Act as key post-sale point of contact for finance, sales administrators, and others, for CDD and AML.• Liaise with registrars for inbound and outbound shipping of all secondary works.• Liaise with accounts and HCM to ensure correct tax treatment of invoiced works.• Monitor payment terms and chase outstanding invoices.• Track payment terms for sold works and chase accordingly.• In tandem with researcher, maintain a filing system for all supporting documents for secondary consignments.Personal specification:• Significant administrative experience in a fast-paced environment.• Excellent attention to detail.• Motivated to problem solve.• Enjoys stakeholder management.• Previous artworld transaction experience required, auction experience preferred.• Understanding of European tax and regulations around secondary art market private sales.
