About the Role:



We are looking for an organised and detail-oriented Contract Administrator to join our Maintenance Team Office. This is a newly created position where you will play a crucial role in supporting the Lead Contract Administrator on a high-value contract covering multiple sites in London. The role is fully based in Guildford.



Key Responsibilities:





  • Process incoming work instructions via email and input jobs into the IT system.




  • Dispatch operatives/engineers to sites for maintenance and repair tasks.




  • Ensure real-time updates are made to the client’s IT system.




  • Accurately enter costs for billing, requiring a keen eye for detail.




  • Assist in planning and coordinating scheduled maintenance tasks.




  • Adjust schedules dynamically as needed.




  • Generate reports for the Contract Manager and clients.




  • Handle inbound and outbound calls with engineers and client site contacts.




  • Provide general administrative support to ensure smooth contract operations.





Key Skills & Experience Required:



Proven experience in administration, scheduling, or contract support (ideally within facilities management, engineering, or maintenance).



Strong IT proficiency – comfortable working with job management systems and Excel.



Excellent attention to detail to ensure accurate billing and reporting.



Strong communication skills, both verbal and written.



Ability to work in a fast-paced environment, handling multiple tasks efficiently



Experience liaising with engineers, contractors, or external clients is a plus.



Working Hours & Benefits:





  • Monday to Friday, alternating shifts:



  • Week 1: 08:00 – 17:00 (1-hour lunch)

  • Week 2: 09:00 – 18:00 (1-hour lunch)


  • Opportunity for overtime when required.
