About the Role:
As a Senior Office Administrator, you will play a crucial role in ensuring the smooth running of daily operations within a busy and dynamic office environment. Based in Omagh, you will manage a range of administrative processes, liaise with key stakeholders, and provide essential support to learners. This role requires someone who is organised, compassionate, and capable of handling a variety of responsibilities with professionalism.
Key Responsibilities:
- Overseeing administrative operations to ensure all processes and tasks are completed efficiently.
- Providing exceptional support to learners, acting as a trusted point of contact for their needs.
- Managing and maintaining accurate records, including both paper and digital files.
- Conducting regular quality checks to ensure compliance with internal policies and standards.
- Liaising with a range of stakeholders, including learners, parents/guardians, employers, and external partners.
- Carrying out general administrative tasks such as drafting correspondence, filing, scanning, and answering telephones.
- Coordinating schedules, updating systems, and ensuring all deadlines are met.
- Supporting colleagues and the wider team to ensure smooth daily operations.
- Maintaining confidentiality and GDPR compliance in all tasks.
Requirements:
To be considered for this role, candidates should meet the following criteria:
- 4+ years of prior experience in an administrative or office management role.
- A minimum of 5 GCSEs (Grade A*-C), including Maths and English, or equivalent qualifications.
- Strong literacy, numeracy, and IT skills, with proficiency in Microsoft Office programs.
- Exceptional organisational skills with an eye for detail.
- Excellent communication skills, with the ability to build relationships with a variety of stakeholders.
- A proactive and self-motivated attitude, with the ability to work independently and as part of a team.
- The ability to prioritise tasks, work to deadlines, and remain calm under pressure.
- A compassionate and understanding approach to working with learners and colleagues.
The Package:
- Competitive salary, negotiable based on experience.
- Permanent, full-time position (35.25 hours per week).
- Monday to Thursday: 8:45 am - 5:00 pm, Friday: 8:45 am - 4:00 pm.
