Job Title: Administrative Assistant

Duration: 12 months - possibility of extension

Location: Weston-super-Mare

Pay Rate: �17.00 per hour

Working Hours/Pattern: 08.00am - 16.00pm, Monday to Friday. Fully on site working

About the Role:
As an Administrative Assistant, you will play a crucial role in supporting our client's operations and ensuring smooth communication within our client's team and with their clients. Your contributions will help maintain high standards of service and efficiency.

Main Responsibilities:

  • Customer Communication: Respond to customer inquiries both verbally and in writing, providing friendly and professional assistance.
  • Data Management: Input data into the appropriate databases to support our client's Field Teams. Ensure accuracy and timely updates.
  • Inbox Management: Oversee the team inbox for new inquiries and activity prompts within systems.
  • Record Keeping: Update central protection records in both database and paper formats to ensure compliance and accessibility.
  • Financial Processing: Process invoices and purchase orders using the E5 financial tool, maintaining accurate financial records.
  • Administrative Support: Provide essential support to the Team Manager and the team, including arranging meetings, catering, hire cars, travel, and accommodation.
  • Dashboard Maintenance: Maintain and review maintenance dashboards for both South West and Wales Maintenance teams, ensuring all data is current and relevant.
  • Team Collaboration: Assist fellow team members as needed, fostering a supportive work environment.

Essential Requirements:

  • Communication Skills: Ability to communicate effectively, both verbally and in writing, with customers and team members. You should represent our client's organisation positively at all times.
  • organisational Skills: Reliable and well-organised, you can manage multiple tasks efficiently while maintaining attention to detail.
  • Team Player: Ability to work as part of a small team and to collaborate effectively with others.
  • Initiative: Self-starter who can work independently and take the initiative when required.

Desirable skills:

  • Proficient in Microsoft Office Suite. Experience with applications such as PowerOn, EMU, E5, and CROWN, not essential as training will be provided.
