Administrator - Edinburgh City Center - Salary up to £25,000 DOECBW is excited to be working with a leading facilities company based in Edinburgh City Center. This is an excellent chance for experienced customer service professionals to take the next step into planning administration within a dynamic and well-established organisation.
Key Responsibilities:\n- Assist the FM team with day-to-day administrative tasks, including handling emails, phone calls, and correspondence.
\n- Maintain and update records related to maintenance, service contracts, and compliance documentation.
\n- Prepare reports, presentations, and meeting minutes as required.
\n- Manage purchase orders, invoices, and procurement processes for FM-related supplies and services.
\n- Act as the first point of contact for FM-related queries and service requests.
\n- Log and track work orders, ensuring timely responses and updates.
\n- Liaise with contractors and internal teams to schedule maintenance, repairs, and inspections.
\n- Monitor and follow up on outstanding tasks to ensure issues are resolved promptly.
\n
Person Specification:\n- Strong administrative and organizational skills.
\n- Excellent communication and customer service abilities.
\n- Proficiency in Microsoft Office (Word, Excel, Outlook) and FM software (e.g., CAFM systems).
\n- Ability to manage multiple tasks and prioritize workload effectively.
\n- Knowledge of health and safety regulations and compliance requirements (desirable).
\n- Experience in working within a Facilities Management environment (preferred).
\n- Previous experience in an administrative role, ideally within FM or a similar environment.
\n- Familiarity with FM operations, property management, or building maintenance (advantageous).
\n- Strong IT skills and experience working with databases and reporting systems.
