Chief of Staff - Investment Family Office (Remote and visiting on site when required)

£130 – 175k DOE depending on content and level of experience.

Remote mainly with occasional visits to the City and Surrey. ACCA or similar qualification is needed. The Principal is a highly respected and likeable head of a very successful international tech firm. This is a first-time hire and will grow over time.

Degree standard with a Family Office background (Essential) or supporting an UHNW individual with a high level of administrative support and planning regarding personal investments & assets.

An excellent communicator with a keen eye for detail, accustomed to dealing with a large amount of paperwork/administration regarding multiple personal investments. Financially astute, loyal, and discreet. Happy to roll up the sleeves when required. Flexible and hands-on. Happy to work remotely and visit the Principal when required (Surrey or City).

A self-starter who can implement new systems, track the private investments of the Principal, and keep the paperwork and legal requirements up to date in every respect.

Reporting directly to the Principal, overseeing the private investments & personal assets in the UK & worldwide. Responsibilities include reviewing and conducting due diligence on all new and potential investment opportunities, managing the investment process and reporting, and being the key point of contact with lawyers, banks, accountants, and other third parties. Liaise with the Accountant on tax matters regarding personal investments and conduct research on any planned investments.

Read and review all pertinent information/documents regarding personal investments and assets and report distilled points for the Principal's consideration/decision. Ensure all matters are dealt with in a timely manner, prioritizing time-sensitive issues. Keep an up-to-date electronic filing system of all private investments & legal matters. Analyze content and provide a commercial view on private investment matters and next steps. Consult with an accountant or lawyer when required. Monitor investment performance on all investments and provide regular updates. Proof-read, distill, and summarize investment, banking, and legal documents into succinct information for the Principal. Complete necessary regulatory requirements for donations, trusts, portfolios, and new investments.

Flag any issues and provide informed opinions when required. Manage the Principal’s personal finances & expenditure and provide a monthly report. Deal with all private insurances and obtain comparative quotes for residences, cars & other assets. Monitor renewal dates on all insurances and obtain comparative quotes. Assist with any budgets and management of refurbishment works to family residences or property investments in the UK or abroad. Manage any personal payroll requirements. Create employment contracts for personal staff.

Manage & purchase all family transport. Manage all assets for the Family, including UK and international property. Support with various ad-hoc requests and travel with the Principal on occasion when required. Attend external meetings on behalf of the Principal if necessary. Be available out of hours for urgent matters. A high level of discretion and confidentiality is expected in this role, and excellent references are required.

Able to build relationships quickly and liaise with external providers in a professional manner. A down-to-earth and helpful personality wanting to build a trusted relationship with the Principal and commit for the long term.
