Main Duties and Responsibilities
Provide a high-quality secretarial support service and exemplary client care
Work closely with the Residential and Rural Property Groups, and as a secretarial unit, to deal with all administrative and secretarial aspects of the conveyancing process including issuing Letters of Engagement/ Terms of Business, preparing draft dispositions, registration forms and LBTT returns, and preparing fee notes and cash accounts
Provide administrative support to the estate agency function as required
Collaborate and work with secretarial and other colleagues within the team to develop and document processes to increase efficiency and effectiveness, prioritise work, share knowledge and monitor workflow
Maintain accurate records and systems using the firm's document management system
Both copy and audio typing, including notes of telephone calls, meeting notes etc
Process AML documentation accurately to conclusion; carry out AML checks using SmartSearch, complete risk assessments and liaise with internal stakeholders
Assist with basic legal research
Organise meetings, diary management and make travel arrangements as required
Photocopying, scanning and general office administration
Undertake any other reasonable duties as they arise.
Skills, Knowledge and Experience
Previous experience working as a Conveyancing Secretary is essential
Highly motivated and committed to delivering an excellent level of service to clients and colleagues
Well-developed interpersonal skills, both written and oral
Excellent organisational skills and the ability to plan and prioritise own workload
A high level of accuracy with attention to detail, and the ability to proof own work
Proactive approach to problem solving and decision making
Ability to work independently as well as part of a team
Excellent IT skills especially in the use of Microsoft Office applications.
