Summary

The Customer Service Apprentice is responsible for supporting the logistics and purchasing functions within the Deeside Division, assisting both departments with customer service support and general administration. Their time will be split between both departments, to be scheduled by the Logistics Manager, in collaboration with the Purchasing Manager.

Customer Service Responsibilities:
Monitor email service requests from external customers, which include contractors, distributors, and site management. Using email and within the boundaries of company policy acknowledge receipt and answer where appropriate, reallocating, or escalating queries when required.
Monitor email service requests from internal customers, which include cross functional division departments, UK and overseas based sales managers and management. Using email acknowledge receipt and answer where appropriate, reallocating, or escalating queries when required.
Receive general enquiries, acknowledge receipt, and allocate to the appropriate department or person.
Provide a daily shipping update to all customers with export orders in transit.
Access and escalate complaints to the relevant department Manager and/or Director.
Support service requests, this includes responding to a where the information is available, escalating to other departments or line manager where appropriate.

Logistics and Administration Responsibilities:
Support the administration of new projects, this includes adding and maintaining changes to the Master Production Plan, in advance of further manufacturing scheduling by the logistics manager.
Update and maintain changes to the Master Delivery Plan,
Draft a delivery schedule for approval by the Logistics Manager
Coordinate the export collections with the freight forwarding company. Provide all relevant documentation required for each shipment, such as commercial invoices, ensuring the goods meet all compliance requirements for shipping.
Schedule UK direct deliveries with sites and contractors and complete induction forms as required.
Communicate late changes or requests to the despatch team.
Visit the Chamber of Commerce to complete export documentation.
Support and assist fleet management with booking in vehicle services, tyres, and MOT tests for Thrislingtons delivery and installation team
Administer the RingGo, London congestion charge and fuel cards when required.
Manage incoming vehicle fines, e.g. parking charges, speeding fines and coordinate payment arrangement with approved fines. Communicate necessary deductions to Human Resources for payroll as required.
Assist with arranging travel bookings; including flights and hotels when installing overseas.
Issue weekly job schedules to the offloading team.
Using ERP systems (Sage and CSI) assist with the administration of order related data, including booking in and out of goods received.
Assist the Purchasing Manager with cyclic and annual inventory counts.
Arrange the shipment of goods as arranged by the Purchasing Manager, including small items, replacement parts and samples with pre-approved couriers.

Qualifications

Secondary school level of education, with Mathematics and English GCSEs at grade A- C or Grade 5 +
Willingness to complete a customer service apprenticeship in partnership with a local college, gaining valuable on-the-job experience and formal qualifications.
Basic Microsoft Office skills
Excellent communication skills; both written and verbal Ability to operate in a fast-paced open office environment
Demonstrate high level of attention to detail
Excellent organisation skills and the ability to manage multiple tasks at any one time
Strong interpersonal skills and the ability to work effectively on their own and in a team environment with employees in all environments

Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.Ability to write routine reports and correspondence.
