Our client a leading global tech business is seeking an enthusiastic and detail-oriented Event Coordinator to join an International Field Events Team.

Job Summary:

In this role, you will leverage your expertise in event management and your skills in organisation, project management, and collaboration to assist in planning and executing third-party events across diverse regions, industries, and audiences. You will be responsible for delivering a variety of high-impact events, bringing your strong understanding of event logistics, project management capabilities, and excellent interpersonal communication skills to the table.

Key Responsibilities:

  • Event Management and Logistics:
    • Support the International Field Events Team with the execution and logistics of events; provide on-site event support as necessary.
    • Manage the inventory of event supplies and branded items; oversee procurement and restocking.
    • Act as a liaison with key vendors, managing relationships and coordinating logistics.
    • Schedule and coordinate planning meetings; create detailed event playbooks and conduct post-event reviews.
    • Oversee hotel room blocks for key events, book meeting rooms, and coordinate schedules.
    • Organise and manage smaller-scale events independently.
    • Research and evaluate potential vendors for entertainment, decor, gifts, and venues.
    • Create and print event displays and collateral; assist with proofing and editing of materials, registration websites, and landing pages.
    • Arrange shipping and handling of event materials and equipment.
    • Perform additional event-related tasks and projects as assigned.
  • Reporting and Administrative Support:
    • Ensure data accuracy and completeness for tracking and analysing event expenditures and performance metrics.
    • Assist in the creation of departmental planning tools and campaigns using software solutions like Salesforce, Atlassian, Jira, and Workfront.
    • Familiarise yourself with event KPIs and assist in preparing departmental reports.
    • Collect and reconcile monthly credit card receipts using Concur software.
    • Submit event invoices, assist with vendor onboarding, and manage purchase orders and payment requests.
    • Maintain the International Events Calendar
    • Manage and update the Events Team and Executive Leadership Team contact lists.

Basic Qualifications:

  • Education: Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
  • Experience: 2+ years in event planning and management, with experience in both small and large-scale events.
  • Skills:
    • Strong interpersonal and written communication abilities.
    • Proactive problem-solving skills and the ability to address challenges effectively.
    • Ability to manage multiple tasks and priorities in a fast-paced, dynamic environment.
    • Keen attention to detail with the ability to think and plan strategically.
    • Demonstrated ability to work independently and within cross-functional teams.
    • Resourcefulness in optimizing resources while maintaining budget constraints.
    • Solid project management skills.
    • Self-motivated with a proactive attitude and a willingness to learn independently.
    • Positive, globally-minded outlook.
    • Proficiency in MS Office Suite and common workplace technologies.

Preferred Qualifications:

  • Experience in the technology, professional services, or financial services industries.
  • Prior experience in field events or trade show management.
  • Strong negotiation and diplomacy skills.
  • Experience with vendor management.
  • Familiarity with Confluence, NetSuite, Salesforce, Power BI, and Eloqua.
  • A proactive individual who initiates action rather than waiting for direction.
