Responsible for the planning, coordination, and execution of events, alongside providing operational and financial support across various functions within the organisation. Managing budgets, overseeing P&L, generating quotations, driving sales efforts, and acquiring new clients. Ensuring seamless event delivery and efficient day-to-day operations, contributing to the organizations financial growth and operational excellence.
Job Description
Event Management:
Planning and Execution: Oversee the end-to-end management of events, including corporate events, conferences, seminars, workshops, and other special occasions. This includes conceptualizing event themes, developing timelines, managing budgets, and coordinating with internal teams and external vendors.
Logistics Coordination: Manage all logistical aspects of events, including transportation and equipment rental.
Stakeholder Collaboration: Work closely with key stakeholders to understand their objectives and requirements, ensuring all events align with organizational goals and expectations. Schedule and
lead operational and production meetings with internal team. This include menu planning with chefs, logistics/transport requirements, hire equipment, ordering, staffing, etc.
On-Site Management: Provide on-site support during events to ensure they run smoothly, handling any issues that arise and making real-time decisions to maintain high standards of quality and service.
Post-Event Evaluation: Conduct post-event evaluations to gather feedback, analyse outcomes, and provide recommendations for future improvements. Conduct post event debrief with management team.
Ensuring the accurate billing information is passed on to the Finance Administrator for charging in a timely manner. This includes raising deposit invoices, producing drink consumption reports, obtaining signed agreement, final invoices and chasing payments from clients.
Carry out any other reasonable requests of senior management.
Financial Management:
Quotation Management: Prepare and present detailed quotations for events and services to clients, ensuring competitive pricing while maintaining profitability.
Budget Management: Develop, monitor, and manage budgets for events and operational activities, ensuring cost-effectiveness and adherence to financial targets.
P&L Responsibility: Oversee the Profit & Loss (P&L) for events and operational projects, analysing financial performance and implementing strategies to maximize profitability.
Sales and Business Development:
Client Acquisition: Drive efforts to acquire new clients through networking, lead generation, and relationship building.
Sales Strategy: Develop and implement sales strategies to increase event bookings and operational contracts, contributing to revenue growth.
Client Relations: Maintain and grow relationships with existing clients, ensuring high levels of satisfaction and repeat business.
Client Support Team (CST):
Support Head of Operations & Events in departmental and companywide projects. E.g. organising recruitment days.
Carrying out regular site visits and follow up by email with actions. At least two site visits each month.
Organise skill-based training for all Front of House CST Team
Working Pattern: 40 hours (Mon-Fri) Flexible working evenings
Skills and Experience
