Job Title:�Facilities / Maintenance Administrator



Location:�Sutton, Greater London



Hours:�Monday - Friday, 08:30am - 5:30pm



Working Setup:�Full Time, Office Based



Salary:��26,000 - �34,000 dependant on experience.

We are recruiting for a Facilities / Maintenance Administrator to join the business and support the on going growth or some of our leading contracts.

About the company:



You will be joining a rapidly expanding, privately owned maintenance provider who has almost tripled in size over the past 4 years. The business specialises in hard services maintenance (electrical, HVAC, fabric works) across a range of commercial environments such as retail stores, coffee shops, restaurants, supermarkets, offices etc.



Due to the nature of the environments, works are predominately on a reactive basis but does also include PPM services. The business currently employs around 250 people and has around 150 vans on the road.



Your role:



So where do you come in?



You will be joining designated to one of the companies key accounts / clients providing administrative support to the client, colleagues and engineers. You will be speaking with clients, engineers, suppliers and sub-contractors via phone, email and via the CAFM system to ensure works are booked/scheduled efficiently, completed to the best of ability and compliance is fully supported for each job on the system. Here is a list of further duties you can expect within this role:




  • Use of CAFM Systems - Mainly Simpro & ProNett.

  • Scheduling / booking in works for Engineers & Sub-Contractors.

  • Liaising with clients upon new and existing bookings and providing updates on works.

  • Gaining / Issuing permits / site access.

  • Raising PO numbers for Engineers and Suppliers.

  • Liaising with suppliers and ordering parts when necessary.

  • Further administrative support; Signing engineers in/out of jobs, marking jobs as complete ready for invoicing, raising queries etc.

  • Liaising with accounts department on jobs and invoices.

  • Working closely with the projects/estimates department for all projects/quoted works.



Requirements:




  • Experience working for a hard services maintenance provider is highly desirable.

  • Experience working within a fast paced co-ordination / scheduling / customer facing role is essential.

  • A basic understanding of trades would be highly advantageous but not essential - any basic knowledge of electrical, mechanical, air conditioning, heating, carpentry, plumbing, tiling, roofing is very helpful.

  • Happy to work in a customer facing role.

  • Happy to communicate by phone and email

  • Competent with use of all Microsoft programs, ie: word, excel etc.

  • Experience using a CAFM system is highly desirable.

  • Experience with Simpro or ProNett would be highly desirable but certainly not essential.

  • Happy to work in a busy, fast paced environment/position.
