Head of Finance Kiln Theatre Contract: Part-time permanent (3 days per week equivalent of 22.5 hours excluding breaks which are unpaid). Salary: £50,000-£55,000 full-time (pro-rated for part-time contract) Purpose Kiln Theatre is seeking an experienced finance professional with a successful track record of working in the arts, entertainment and/or charity sector to take on this part-time role within the theatre s Senior Team. The Head of Finance will lead and manage the Finance team ensuring the smooth finance operation at Kiln Theatre, whilst being a major contributor in the delivery of the theatre s strategic priorities. As a key part of the Senior Team, the Head of Finance will connect the day-to-day financial management of Kiln Theatre with the strategic planning needed to support the organisation s current and future business model, whilst ensuring that effective controls are in place and that all regulatory requirements are met. The Head of Finance will work closely with Amit (Artistic Director/ CEO) and Iain (Executive Director), supporting them as they lead Kiln Theatre through a period a strategic development as the theatre embraces new forms of income generation, growth and artistic activity. The Head of Finance will contribute to Kiln Theatre s business planning and play an active role in supporting the resilience of the organisation for the future, ensuring compliance with charitable best practice at all times, whilst helping the company to fulfil its creative and financial ambitions. The Head of Finance will also work with members of the Board and in particular the Finance & Risk Committee, as well as the external auditors. Key responsibilities Strategy and planning Support with the financial planning and strategic development of the charity by providing reliable and accurate financial input into the long term strategic plan; Support the long-term sustainability of Kiln Theatre alongside the Artistic Director/CEO and Executive Director through financial planning and long-term financial forecasting and budgeting; Ensure Trustees have the financial and monitoring information they need to fulfil their strategic financial management role; Lead on the development of business planning tools that help to steer the organisation towards long-term financial health and sustainability; Provide business support to the Operations and Marketing teams to support the development and financial management of the Cinema, Events and Hires and Catering offer at the theatre in order to maximise income generation. To act in the best interests of Kiln Theatre, providing support and guidance to the Executive team, and seeking external advice as required. Financial Reporting With the support of the Finance Manager, to prepare and manage cash flow projections, monthly management accounts, and quarterly Board papers; Ensure accurate reporting is provided to department managers to ensure they manage their budgets effectively; Provide appropriate reporting to the Finance & Risk Committee as required; Provide all financial information to grant-giving bodies and to our statutory funders, working closely with the Fundraising department and Finance Manager to prepare budgets to funders and to report activity against these budgets in line with their requirements. Ensure that funding conditions are met and funds are properly recorded and managed. Financial Management Maintain overall responsibility for the Finance department, including ensuring that all operational finance tasks are completed accurately and on a timely basis, and ensuring the maintenance of all necessary financial records and controls; Ensure that the resources of the organisation are properly managed and are controlled effectively; Work with the Executive Director to develop the annual budget, supporting the process with Senior Team budget holders, and working to ensure that the final annual budget each year is robust and accurately reflects the strategic direction of the organisation; Oversee the management of the organisational budget, including ensuring that budget holders are accountable for their spend against budget. Advise Executive Director on financial exceptions and remedial actions required; Work to deliver the Reserves Policy as determined by the Board; Ensure forecasts are prepared on a timely basis to closely monitor the year end position throughout the year; Responsible for Kiln Theatre s overall cash flow management, including providing the Executive team with accurate monthly updated cash flow reports. Statutory Reporting and Compliance Oversee the year end process and lead on the preparation of the annual accounts for the theatre and its two subsidiary companies; Manage the relationship with the auditors; Manage the relationship with the Theatre s bankers and other financial stakeholders; Ensure compliance with all statutory and regulatory requirements, including the completion of returns to statutory authorities such as Companies House and the Charity Commission; Oversee the completion of all Theatre Tax Relief claims (alongside the Executive Director), gift aid claims and quarterly VAT returns; Ensure compliance with all PAYE/NIC and legal legislation around payroll and payment of entertainers. Person Specification The ideal candidate will be a qualified accountant (with 3+ years PQE) and will have a proven track record as a successful finance professional with working knowledge of Charities SORP. Familiarity with partial exemption in VAT and Theatre Tax Relief would be a benefit. You will have experience of supporting high-level organisational decision-making, and ideally theatrical production accounting. You will have a sound grasp of business management, including proven skills in risk analysis, forecasting and problem-solving, and the ability to communicate effectively with / work closely with finance and non-finance colleagues alike. You will have a forensic eye for detail and be an excellent and inspiring manager. Finally you will have an empathy for the charitable aims of Kiln Theatre, and a commitment to the successful delivery of our mission.
