Legal Receptionist & Administrative Assistant
Location: Bedford
Salary: £24,000 + DOE
Hours - Monday to Friday, 09:00 – 17:30
An exciting opportunity has arisen for an experienced Legal Receptionist & Administrative Assistant to join a well-established professional services firm in Bedford.
This role is ideal for a candidate with previous experience in a legal firm or a professional services environment, who thrives in a client-facing role and can manage front-of-house operations efficiently.
Key Responsibilities:
\n- Manage incoming calls via the switchboard, directing them to the appropriate extensions.
\n- Greet and assist clients and visitors in a professional and courteous manner.
\n- Keep clients informed of appointment delays and provide general assistance as needed.
\n- Accurately relay messages via email or telephone in a timely manner.
\n- Maintain and update the room booking system to ensure efficient scheduling of meetings.
\n- Assist with accounts administration, including cash handling and cheque preparation.
\n- Ensure all relevant charges and bills are correctly recorded in the accounts system.
\n- Maintain confidentiality and adhere to data protection regulations at all times.
\n- Sort and date-stamp incoming post and prepare outgoing post using the franking machine.
\n- Oversee the organisation and upkeep of the reception area, ensuring a professional environment.
\n- Assist in managing junior reception team members and providing guidance where necessary.

The Candidate \n- Strong organisational skills
\n- Excellent communication skills, both written and verbal.
\n- Good time management and the ability to work efficiently under pressure.
\n- Ability to work independently and collaboratively as part of a team.
\n- A professional telephone manner with a strong customer-focused approach.
\n
\n- A minimum of 12 months’ experience in a receptionist role (e.g., legal, professional service)
\n- Competence in using office software and a willingness to learn new systems.
\n
\n- Prior experience in accounts administration – desirable, not essential
\n- Previous experience in mentoring or overseeing junior team members - desirable
\n
