Job Summary**
We are looking for a detail-oriented and proactive Online Marketing and Travel Assistant to support our marketing initiatives, manage villa listings, coordinate bookings, and assist with various administrative tasks. The ideal candidate will have experience in online marketing, travel coordination, and possess excellent organizational skills.
**Key Responsibilities**
**Villa Management System and Umbraco**
- **Load New Villas:** Collect and input data, floor plans, images, rates, and availability for new villas in Ibiza, Formentera, Mallorca, Menorca, and Mykonos.
- **Ongoing Updates:** Provide regular updates to the reservation systems and Umbraco CMS to ensure all villa information is current and accurate.
**Contracts Management**
- **Client Booking Forms:** Manage and organize client booking forms signed via the reservation system.
- **Owner Agreements:** Handle villa owner agreements signed through the reservation system.
- **Form Amendments:** Make necessary amendments to forms as needed or upon request.
**Marketing Website**
- **Management on Airbnb & OTAs:** Update availability, rates, and facilities
- **Agent Updates:** Provide updates to various agents regarding Dynamiclives.com villas as requested.
**Email Marketing**
- **Content Creation:** Write engaging blogs for Dynamiclives.com and IBV for publication on Umbraco.
- **Campaign Management:** Use Mailchimp and Campaign Monitor to create and send marketing campaigns to owners and clients.
**Banking – Xero System**
- **Bookkeeping:** Manage accounts receivable and payable using Xero.
- **Expense Management:** Load expense receipts and cross-check with Xero statements.
- **Invoicing:** Create bills and invoices for all bookings, including client names, reservation system reference numbers, and stay dates.
- **Payment Reconciliation:** Reconcile Stripe payments and manage Stripe account activities.
**Pricing and Availability**
- **Availability Updates:** Update availability for all resorts manually or via automatic Bookingmood iCal links.
- **Owner Communication:** Regularly communicate with villa owners via email and WhatsApp to confirm availability and rates.
**Sales Support**
- **Qualify Enquiries:** Assess sales inquiries received via WhatsApp and forward qualified leads to the sales team.
- **Booking Payments:** Follow up on client payments, record payment arrivals in the reservation system, and send payment reminders.
**Administrative Support**
- **Document Management:** Organize and manage files using Dropbox, Google Drive, and DocuSign.
- **Team Support:** Provide assistance to the resort team as needed through regular communication.
- **Training:** Train new employees on company systems and processes.
**Client Relations**
- **Pre-Arrival Coordination:** Gather all necessary pre-arrival information from clients during the season.
- **Client Introduction:** Introduce clients to their allocated villa manager to ensure a seamless experience.
**Qualifications**
- **Education:** Bachelor's degree in Marketing, Business Administration, Tourism, or related field preferred.
- **Experience:** Minimum of 2 years in online marketing, travel coordination, or a related role.
- **Technical Skills:**
- Proficiency in content management systems (experience with Umbraco is a plus).
- Familiarity with reservation systems and property management software.
- Experience with email marketing platforms like Mailchimp and Campaign Monitor.
- Proficiency in accounting software, preferably Xero.
- Experience with payment gateways such as Stripe.
- **Communication Skills:** Excellent written and verbal communication skills in English; additional languages are a plus.
- **Organizational Skills:** Strong ability to multitask, prioritize, and manage time effectively.
- **Interpersonal Skills:** Ability to work independently and collaboratively within a team.
- **Technical Proficiency:** Proficient in Microsoft Office Suite and Google Workspace.
