JOB DESCRIPTION
Are you an individual who thrives in a dynamic environment and enjoys organising schedules to ensure that work is completed on time? If so, then the Guinness Partnership are seeking a Planned Works Coordinator to join our Oldham based team on a 12-month fixed term contract.
Reporting to the Operational Support Manager the successful applicant will provide support to the Planned Works team and deliver effective resource management and query handling on a full-time basis, 39-hours a week, Monday - Friday. We operate a hybrid working model which requires employees to work in the office for three days per week with the remaining 2 being from home.
Key Responsibilities:
Resource Planning: Effectively plan the resources required to carry out planned works throughout each programme, ensuring adequate resources are allocated and ready on time.
Material Procurement: Order materials directly from suppliers ensuring delivery timescales are met.
System Updates: Accurately update systems to reflect goods received and the progress of current work pipelines, ensuring financial reporting is accurate and timely.
Customer Enquiries: Respond efficiently to customer enquiries, ensuring they are fully informed about the schedule of work to be completed.
GDPR Compliance: Ensure that all customer data is processed in compliance with GDPR regulations.
Diary management: Provide an effective planning service of operatives diarys, working closely with the regional operational team to support the achievement of team KPIs.
Commercial Coordination: Work closely with the commercial team regarding subcontractors, purchase orders, and variation orders to ensure continued value for money and that commercial procedures are followed.
Health & Safety compliance: Take appropriate H&S measures to ensure the safety of yourself, customers and colleagues.
Role Criteria:
Essential:
Excellent organisational skills and the ability to manage multiple tasks & deadlines.
Experience with customer focussed roles, ensuring a high level of satisfaction.
Knowledge and understanding of GDPR regulations.
Ability to work under pressure and adapt to changing priorities.
Proven ability to work methodically, follow agreed procedures and accurately record data and information.
Experience of working with databases.
Desirable:
Experience of working with scheduling tools or similar software.
Demonstratable experience in liaising with suppliers and managing procurement processes.
Experience within a commercial or subcontractor environment.
Knowledge of Health & Safety and safeguarding procedures.
