Production & Dispatch Coordinator

Salary - £27k - £30k dependant on experience

Monday to Friday 8am - 5pm

We are seeking a skilled and motivated individual to join our team as a Production & Dispatch Coordinator. The successful candidate will share in the responsibility for overseeing and managing the production and dispatch process, ensuring that all products are manufactured and delivered efficiently and effectively. As a key member of the team, the Production & Dispatch Coordinator will work closely with the Production Manager and provide support to the team in meeting productions targets and delivering excellent customer service.

Key Roles and Responsibilities:

Production Coordinator:

1. Collaborate with the Production Manager to develop and maintain production schedules, ensuring that all production activities are carried out in a timely and efficient manner.

2. Prepare job packs for the Job Sheets, which includes operating the engraving machine and liaise with the Production Manager to ensure that all job sheets are accurate and up-to-date.

3. Manage stock control of finished products, including updating inventory records and reconciling stock levels against production orders.

4. Allocate stock to customer orders, ensuring that all orders are fulfilled on time and in full.

5. Update Job Cards to the latest procedures and collaborate with the Production Manager to implement and maintain quality control procedures, ensuring that all products meet our high standards.

Dispatch Coordinator:

6. Handle incoming telephone calls and customer emails, ensuring all queries are answered promptly and professionally.

7. Work closely with the Service Delivery Manager to assist with managing the dispatch process, ensuring that all orders are processed accurately and on time.

8. Liaise with customers to confirm delivery schedules and communicate any changes or delays.

9. Organise and book courier collections for both UK and international orders.

10. Prepare and complete export paperwork for international orders.

11. Advise customers with weights and dimensions for FOB/EXW orders where the customer is arranging collection.

12. Track shipments and liaise with carriers to resolve any delays or provide further information as required.

13. File proof of delivery notes on signed deliveries and ensure the correct number of delivered packages.

Requirements:

A strong attention to detail and excellent organisational skills are essential for this role.

Excellent communication skills and the ability to work well under pressure are necessary to succeed in this position.

A high level of proficiency in using Microsoft Excel, Word and Email is required.

Previous experience in logistics, production or dispatch is beneficial but not required.

The successful candidate must have a customer-focused approach and excellent client management skills, with strong written and verbal communication abilities.
