Job Summary
We are recruiting for a dynamic and experienced individual to become part a busy team in our Site Services Department within Glenfield Invicta Ltd based in our Maidstone office. The successful candidate will play a crucial role in providing office support and financial monitoring to assist our Project Managers to deliver services into the Water Industry. Glenfield Invicta Limited is part of the AVK Group; who are market leaders in the supply of valves, fittings and flow control equipment to the Water, Waste Water, Oil and Gas industries throughout the world.

ABOUT THE ROLE:

You will be responsible for processing sales and purchase orders, monitoring and calculating running costs of Projects, and ensuring customer orders are invoiced on time with the correct costings applied.

Responsibilities (however not limited)

* Processing Customer orders.

* Monitoring and calculating running costs of Projects.

* Running spreadsheets for each Contract (Financial).

* Monitoring and updating spreadsheets to show monthly sales revenue .

* Checking Contracts to ensure financial milestone requirements are met.

* Requesting and processing variations to orders.

* Raising 'Applications for Payment' and issuing to customers.

* Raising invoices and purchase orders for subcontractors and hire equipment.

* Organise and maintain files and internal records.

Experience

* Proven experience in an administrative or clerical role is essential, ideally with experience in a similar role.

* Proficient in Microsoft Office Suite especially “OUTLOOK”, “WORD” & “EXCEL”..

* Strong organisational skills with the ability to to file, coordinate and document support duties.

* Demonstrate attention to detail and observation.

* Effective communication skills, both written and verbal, to liaise with stakeholders at all levels.

* Proven experience of dealing with customers in a professional manner.

* A proactive approach to communication and problem-solving and the ability to work independently as well as part of a team.

* Flexibility to adjust workload priorities to take account of new deadlines.

* Continuous Improvement Mindset.

* Results orientated with the ability to plan and deliver against project deadlines.

WORKING HOURS:

The working hours are 37.5 hours per week:

* Monday – Thursday 08:30-17:00

* Friday 08:30-16:00
